Major Responsibilities

Provides administrative and coordination assistance to the Library.

Travel Coordination and reimbursements: Oversees all aspects of travel for Library faculty/staff, candidates and visitors, including internal and external events.

Human Resources: Process personnel actions via HRE (new hires, job changes, etc.); Employee ID (EID) badge requests; building key requests. Maintain positive workflows between Library and Human Resources.

Finance: Provide assistance to the Financial Analyst and Senior Accounting Technician with special projects and troubleshooting. Responsible for tracking and reconciling procurement card expenses in iExpense; pay invoices, track and send collection invoices to Accounts Payable; process and submit disbursement requests; order equipment, furniture and office supplies.

Building Management: Serve as Assistant Building Manager for the Biomedical Information Communication Center (BICC). Oversee and track work orders; approves building key requests; coordinate Logistical requests; manage and implement the Library’s annual fixed asset and space inventories; serve as liaison to building occupants, Facilities and Real Estate, Public Safety, Environmental Health & Radiation Safety, Risk Management, and internal/external contractors. Coordinate building maintenance projects as directed by the University Librarian and building manager.

Event Coordination: Reserve location, order catering, schedule meeting rooms, setup and cleanup (shared responsibility with other library staff).

Other responsibilities: Kronos timekeeper/correct pay reports, telephone counselor and provide minor computer support to administrative staff and serve on department committees as assigned.
