Prepare for your visit with us

A telehealth appointment involves an appointment with your provider or diabetes educator by phone or virtual (video) visit using the following devices: phone, smartphone, laptop or tablet.

The steps below are designed to help you prepare and make the most out of your visit including uploading diabetes data and how to best connect with your provider. 

1-3 days prior to your visit

Preparation is key!

We want to help you maximize your visit. Follow these steps at least 4 to 24 hours prior to your visit.

Begin by uploading (directions below):

  1. MyChart app
  2. Zoom app

Why? Technical issues can be resolved in advance by setting everything up and troubleshooting any issues that may arise.

With Zoom - test the following:

  • Your mic
  • Your audio
  • Your screen

Zoom test:

  1. Download the Zoom app (directions below).
  2. Run a Zoom test: http://zoom.us/test

Upload data from your glucose meter, Continuous Glucose Monitoring (CGM) device, insulin pump and/or Smart Pen data to share with your provider.

  • List of questions for your provider or diabetes educator.
  • List of all current medications.
  • List of prescriptions or supplies you need refilled (provider only).

Steps for your phone visit

  • Be prepared 20 minutes before and after your scheduled visit time with your provider or diabetes educator. 
  • Your provider or diabetes educator will call you at the number you have provided to our clinic.

Steps for your virtual visit

  1. Create an OHSU MyChart account if you do not already have one, by requesting an activation code that will be emailed to you.
  2. If using a smartphone or tablet (recommended), download the MyChart app from Apple or Google.

Your Zoom visit is safe, secure, and encrypted to meet Health Insurance Portability and Accountability Act (HIPAA) regulations and other security requirements to safeguard your Protected Health Information (PHI).

Check in via MyChart

  • Check in begins up to 24 hours before your visit by going to MyChart: https://mychartweb.ohsu.edu
  • Please check in no later than 30 minutes before your scheduled visit.

Go to Appointments > Tap your appointment > Tap Go to eCheck-in.

    Join your visit via Zoom

    1. 20 minutes prior to your appointment, tap the “Begin Visit” icon (if you haven't already downloaded Zoom, you will be prompted to do so now).
    2. You will enter a virtual waiting room. Your provider will join you there.

    Check in via MyChart

    • Check in begins up to 24 hours before your visit by going to MyChart: https://mychartweb.ohsu.edu
    • Please check in no later than 30 minutes before your scheduled visit.
    1. Go to Visits > Upcoming Appointments
    2. Select your appointment’s Details button.
    3. Click the Precheck-in button.

    Join your visit via Zoom

    1. 20 minutes before your appointment starts, the “Update Information” button will change to “Begin Video Visit.”
    2. At your appointment time, click “Begin Video Visit.” If you don't already have Zoom installed on your computer, it will automatically start downloading. Once the installation completes, you will enter a virtual waiting room. Your provider will join you there.
    3. If you try to connect but aren’t able to do so, try refreshing your browser 5 minutes prior to your appointment.

    Equipment basics

    To have a successful video visit, you need:

    • Smartphone or tablet with headphones (recommended)

    • Laptop or desktop with

      • Network or data connection to the internet
      • Speakers or headphones
      • Microphone
      • Camera
      • Internet Explorer

    Go to zoom.us/test to test your camera and audio.

    Audio

    • Adjust volume: increase or decrease settings on your device.

    • Use headphones with a microphone to provide the best audio quality.

    • Try to find a quiet, private space.

    Visual

    • Test your lighting to make sure your provider see you well enough to examine you.

    • If you are using a smartphone or tablet, try to have it propped up so you don't have to hold it.

    Interpreters

    • If you have requested an interpreter, it can help to “pin” the interpreter's video so that you always see their video, no matter who is actively speaking. 

      • For smartphones and tablets: Switch to Gallery View, and double-tap the video of the participant you want to “pin.”

      • For computers: At the top of your screen, hover over the video of the participant you want to pin and click, then choose "Pin Video."

    If you have asked for another person to join the call (e.g. interpreter, another provider, family member):

    • For family members, you'll be able to do so once you and your provider are in the call together.
    • To see different views of participants, on the computer, click the icon in the top right. On the smartphone or tablet, swipe right or left:
      • Speaker view: See the active speaker
      • Gallery view: If you have asked for another person to join the call, this view shows everyone's video, no matter who is speaking

    Additional technical tips

    • Plug in the device you are using during your visit to save your battery.

    • Restart your device before your video visit.

    • Turn off your screensaver.  If the device goes to sleep, it can disrupt the video visit.

    • Close any other programs or applications running on the device.
