Ordering for Research Subjects in Epic
ORDERING FOR RESEACH SUBJECTS IN EPIC VIA PAPER DOWNTIME FORMS
Services charged to a research study via a research industrial account must be ordered on paper order forms known as "downtime slips". Research orders cannot currently be placed through Epic (exception for those participating in the adult neurology pilot --see section for Electronic Research Ordering below). The appropriate research industrial account number to be used for the charge is provided on the form to the ancillary area performing the service.
Inpatient research orders should be provided to the Hospital Unit Clerk (HUC) on the floor where the subject is located per the Inpatient Orders in Epic procedure. Templates for some of the more common types of research orders are provided below. Contact the appropriate clinical department contact to review study specific order forms or for additional order form templates.
- ECG/ECHO Research Exam Order Form
- Laboratory Service DownTime Requisition Form (Use when standard labs will be performed, but will be billed to the Industrial Account.)
- Laboratory Research Samples - Processing Instructions (Use to provide processing instructions for samples that are going to be held or shipped out for testing)

ELECTRONIC RESEARCH ORDERING (ADULT NEUROLOGY PILOT ONLY)
For adult neurology pilot only, research services that are performed at OHSU can now be ordered electronically in Epic. The ensure the service is billed correctly to the study, the service needs to be associated to the research study. To associate the service to the study, the patient needs to be properly associated to the research study as well -- to find more information about associating research subjects to a study please visit the Identifying Research Subjects in Epic page.
All investigational medication must be ordered from a SmartSet/OrderSet as well as being associated with a research study. SmartSet/OrderSets serve as a consolidated "shopping list" of orders, procedures, diagnostics, medications, progress note templates and other items that can be signed on one screen. All studies involving investigational medication will automatically have a SmartSet/OrderSet created; however, if you are interested in having services other than just medication you will need to fill out the Research SmartSet/OrderSet Request form.
