Official OHSU Web Publishing Policy

Policy

OHSU encourages the use of WWW (World Wide Web) technology for internet, intranet and extranet applications. All units, departments, divisions and groups (hereafter referred to as "departments") within OHSU organizational structure are entitled to place information on the OHSU WWW server so long as it does not breach any confidentiality or security agreements, and subject to the guidelines outlined below.

Guidelines

  1. Departments are responsible for creating and maintaining their WWW sites subject to the approval of the appropriate OHSU Executive Board member.
  2. Departments choosing to participate in WWW development must designate a "Web manager" and make the designee available for training in the basics of WWW administration, policies and procedures. Web managers must have OHSU network accounts and must be authorized by the department chair or director to represent the department on the WWW on a WM01 form (signature required). The Web manager will serve as point of contact between department personnel and Web Strategies.
  3. Departments are wholly responsible for the appropriateness of content contained within their WWW site, i.e., WWW pages that are stored on OHSU WWW servers. Departments are therefore recommended to institute policies and procedures to review material that is added to their WWW pages, e.g., the hyperlinks that they provide to external WWW sites.>
  4. WWW pages on OHSU WWW servers must adhere to the guidelines contained in the "WWW Image and Content Guidelines" document.
  5. WWW use is governed by the current Network Services Usage Agreement (ref. NC04) signed by all employees before receiving an OHSU network account. In particular it should be noted that OHSU Computing resources and facilities shall be used for legitimate University business only.
  6. The ability of individuals to publish WWW pages from their computer desktop and network accounts is not supported at this time. Persons wishing to publish WWW pages must do so through their departments. Non-OHSU organizations that wish to publish to the WWW via OHSU WWW servers must do so through an affiliation with, and approval from, an OHSU department.

Requests for exceptions to these policies should be submitted to Web Strategies. Departments that resist following OHSU's WWW policies will be reviewed by the Web Strategies Advisory Committee. These sites may be replaced with a basic template page and Web managers may temporarily lose WWW privileges while their site is under review.
