Accessing Someone Else's Account

OHSU and ITG recognize there are a myriad of things to process before an employee leaves the organization. Sometimes an event will occur that will complicate obtaining everything required before someone leaves OHSU.

There are three policies governing the process:

Computer Access must gain permission from three of the following disciplines before accessing the account. We have a process in place to facilitate the requests through the following disciplines here at OHSU:

  • Legal
  • Human Resources
  • ITG Chief Information Office
  • OHSU's Integrity Office

If requesting access to a current or former employee’s email account, Computer Access needs to know why the access is being requested. 

  1. What do you want to accomplish?
  2. Do you want a reply rule added to the email account to let people know this person is no longer with OHSU? If yes, what do you want the message to say?
  3. Do you need to be able to read all of the former employee’s account? Why? Is there a specific email you are looking for?
  4. How long do you need the access?
 

If requesting access to an active or former employee's H: or C: drive consider the following:

  1. What do you need access to? An individual file? If yes, what is the name of the file? Computer Access can pull it if granted permission. Where is the file?
  2. Do you need access to a specific directory?
  3. Do you just want to comb through the data to see what departmental information you need to obtain?Computer Access does not make a duplicate copy of the H: drive.  It is the responsibility of the person gaining access to copy pertinent files.
