Q: How do I delete an account line?
Select the account and click on the ‘Delete’ icon listed under the menu line.
Q: How do I create a new account line?
There are three different ways to do it.
- Option 1: Click on the next available blank row.
- Option 2: Arrow or scroll down to the last record, and then arrow down to start a new record.
- Option 3: Click on any existing account line and click on the ‘New’ record icon listed under the menu line.

Q: What start date can I use for a new account?
Greater than or equal to the first day of the new pay period.
Q: What end-date can I use for an old account?
Greater than or equal to the last day of the last pay period paid.
Q: If the employee has more than one assignment, how can I identify and choose the correct assignment to change?
Review the position, job description on the first form, or the funding sources on the second form.
Q: Can I setup multiple funding changes for an employee at one time?
Yes. You can setup as far out as you like.
Q: Can an employee’s Labor Schedule be viewed by more than one person?
Yes, but only one person at a time can make updates.
Q: If a project’s end-date is extended by SPA, will the end-date automatically be updated in Labor Schedules?
No. You will have to process the change manually.
Q: I get warning messages about dates after entering an account? What do I do?
Review your start and end-dates of the Project and Award. Refer to the OGA crosswalk for info. If you feel that the dates are wrong in OGA, then please work through your SPA SFA to make the date changes in OGA.
Q: I get warning messages about dates after entering an account string. Can I still save my entry?
Yes, but the payroll will go to payroll suspense if the account string fails Oracle Grant Accounting (OGA) validation at the time of LD processing. For example:

Q: Will my Labor Schedule change process the distribution adjustment?
No. The forms are independent of each other. You will have to manually enter the retro distribution adjustment.
Q: Will my Labor Schedule reflect processed distribution adjustments?
No. The form is static and reflects at a specific period in time when the change took take place, not when the change should have happened.
Q: Can I delete or overwrite my funding entry?
It depends. No, if we’ve already processed the pay period that covers the accounts’ start date. Yes, if we have not processed the pay period that covers the accounts’ start date. In both cases, LD will let you know if you are successful or unsuccessful if you try.
Q: How do I see who and when an account was entered or updated?
Go to the menu line, select Help and then Record History.

Q: Can I use aliases in Labor Schedules?
You can use GL aliases but not Grant aliases. To use an alias, click on the dotted box to the right of the GL Account field to call-up the entry window.
