Email Migration
Learn about preparing for the migration, Outlook Web Access, Outlook 2007, and Archive Manager.
When will the migration to Outlook 2007 begin?
Mid-May. It will take about eight weeks to complete. Users will be given several advance warnings, most likely two weeks prior, one week prior, and one day prior.
Will we be able to migrate our GroupWise archives?
GroupWise archives will be migrated into a centralized system called Archive Manager. Larger archives are at greater risk for corruption. Safeguard your GroupWise archives.
Will we be able to move our current calendars seamlessly?
Yes, but proxies, shared folders, and other GroupWise settings will have to be re-created after the migration, so document your GroupWise settings.
What do I have to do besides documenting my GroupWise settings and cleaning up my archives?
Get familiar with the three new applications: Outlook Web Access, Archive Manager, and Outlook 2007. We'll be sharing information about these in the weeks ahead.
Will the OHSU Blackberry Enterprise Server be affected?
If you use the OHSU BlackBerry Enterprise Server (BES), you need to contact the ITG Help Desk at 503-494-2222 to be re-activated.
Can the Outlook 2007 test accounts in the classrooms send anonymous emails?
No. Email will only be delivered to accounts that are active in our lab.
What about users who aren't on GroupWise? For example, I'm using IMAP. Will I be affected by the migration?
All customer's email accounts will be moved into the Outlook environment. GroupWise accounts will move first. Customers on our POP/IMAP servers and non-GroupWise West Campus customers will move after the GroupWise migration has been completed.
After the migration, can I get back into GroupWise if I need to?
No – When the migration begins, your GroupWise account will no longer function. This is why it's so important for you to document your GroupWise settings.
What are the instructions for laptop users to migrate to Outlook?
ITG-managed laptops will follow the same process as all other ITG-managed computers. We will remotely deploy Outlook Web Access and Archive Manager Web Access icons to their desktop. Once the migration is complete, we will remotely remove GroupWise and install Outlook 2007. The exception is that these ITG-managed laptops need to be physically plugged into a network connection (not wireless) in order to get the remotely deployed icons and software. Once the software is installed, they can continue to use the laptop with a wireless connection.
Laptops that are not ITG-managed will follow the same process as all other non ITG-managed computers. Customers will be responsible for installing the software themselves from the software download center.
Outlook Web AccessWill all users go to Outlook Web Access at the same time?
The migration will be gradual, over an eight-week period. ITG has systems in place that will allow communication between Outlook 2007 and GroupWise for the purposes of passing email and calendar data. OHSU will be use Outlook Web Access for about six to eight weeks. The transition will happen by post office, not by department.
Will I be able to access email from off site? Will it be through the Web, a client, or both?
Yes. Outlook Web Access (OWA) will be available from anywhere. We're researching if other options will be available.
Will we be able to retract using Outlook Web Access?
No.
Where will personal folders appear in Outlook Web Access?
Individual personal folders will migrate as individual personal folders and they will be displayed beneath the Mailbox in the same order they were in.
Will something like GroupWise Views be available in Outlook 2007?
In Outlook 2007 they're called Forms, and yes, they will be available once we've migrated to Outlook 2007.
Does the calendar feature in Outlook 2007 work like the one in GroupWise?
Mostly. Outlook has a feature called Events that will appear on the calendar, and Notes work differently. They do not appear on the calendar and you cannot send notes to other people.
Will the centralized archives in Outlook 2007 allow us to search easily?
Yes, and they will also be searchable via Outlook Web Access.
Will there still be synchronization to portable mobile devices?
Mobile device integration is being investigated. There are a couple different options at this point.
Will users be able to add to the dictionary? If so, how?
Microsoft's dictionary instructions pertain to the entire Office suite, including Outlook 2007.
Will Outlook 2007 be available remotely (via WTS) after it is installed on all the workstations?
Yes.
What is Archive Manager?
Archive Manager is a central archiving system for email and calendar items. After the email migration, Archive Manager will store all you archived GroupWise and Outlook items in one location. You access it with a Web browser like Internet Explorer.
Why will Archive Manager be better than GroupWise or Outlook archiving?
You can access your archived messages from a secure Web browser from any computer that is connected to the Internet - at home or at work. In both GroupWise and Outlook, each user needs to setup their own archives. With Archive Manager, you just need to log in.
How will I access Archive Manager?
On a PC, you will use a web browser (like Internet Explorer 6.0, Firefox or Netscape). You can also access your archived email from within Outlook 2007.
On a Mac, you will use a Web browser like Firefox or Netscape Communicator. Safari is not supported.

What if I am missing archives after the migration?
This should be rare, but if you believe you are missing email archives after the migration, submit the missing archives form and we'll help you locate them.
