Student Checklist

(Students outside the regional program please see Note below.)

Listed below are the processes to review and forms to fill out and turn in to your faculty no later than three weeks before you are scheduled to arrive on campus for your clinical experience.

Step 1 Read and follow the Clinical Access Policy for Student Nurses.

Step 2 OHSU requires that all students pass a drug screening test before arriving on campus. Passing results should be on record at their school or in the student passport.

Step 3 All students are required to take two 4-hour Epic classes in order to document. The required classes are Epic 100 and Epic 101. 

  1. Go to https://trainingforce.ohsu.edu/registration/
  2. In the upper left hand corner click Login.
  3. Underneath Network ID, click on Create New Account. The next screen will request New Account Information. Complete all the fields with asterisks and click Save. In the e-mail address field enter your school e-mail address (e.g. susie.smith@myschool.edu)- DO NOT use your home e-mail account. This will become your Network ID. Your password is the password you created in Account Information. Click Save.
  4. In the Network ID field, enter your school e-mail address and password. Click on the Login button to log into Training Force. If your login fails contact the Training Force administrator via phone at 503.494.4560 or via e-mail at lunaa@ohsu.edu.
  5. To find and register for a class, go to the top left of your screen, hover over the word View, and click on Categories.
  6. For Ambulatory EpicCare classes click on Ambulatory EpicCare; for Inpatient classes click on Inpatient Epic - then click on Inpatient Clinical.
  7. Click on either the course name or class date to locate a class.
  8. Click on the class date to register for your class. The next screen will appear with the class details including time, location, and instructor of the class.
  9. If this class has a status of Accepting and is not full, click on Select.
  10. If you need to register for an additional class, go to the upper right corner of your screen. Click on Category View. Repeat steps 5-9 to register for additional classes.
  11. Once you are finished registering for classes, confirm the details of your classes, then click Checkout.
  12. At the checkout screen, please enter additional information including department and supervisor, then click Finished.
  13. To log out, go to the blue bar at the top of the screen and hover over User. Click on Logout. You will be sent a class confirmation e-mail that summarizes class details. Send the confirmation to your faculty or coordinator as soon as you receive it. They need the confirmation information to arrange access to Epic before you start your clinical at OHSU. If you have questions or concerns, contact hrttrain@ohsu.edu.

Step 4 Two weeks before your clinical placement begins turn in the following completed form to your faculty:

Complete the following: 

  • Student Access & ID Card form - Faculty must sign the Student access and ID card form with the name of the school in the spot marked department and the faculty’s signature in the spot for Department Manager
  • Complete both the OHSU HIPAA and Respect at OHSU online modules (you will need headphones or speakers). To access HIPAA online module from remote workstation you may click on the link or go to: https://www.ohsu.edu/bigbrain/
    • Click on the green text: "register here"
    • Follow the directions for Visiting Student or Intern.
    • Login name: your last name and first initial
    • Click on Register. You will go back to the screen where it asked you to "register here" in green text. Enter your newly created username and password and follow the directions.
    • Print the certificates as you will need them to obtain your ID badge.

Step 5 On or before the first day of your clinical placement, bring the Student Access & ID Card form, the HIPAA and Respect Certificates of Completion, and the signed Background History Certification letter from your school to OHSU Parking to obtain your ID badge. (If you faxed a Background Disclosure form to the Center for Learning and Development you will need to go to their office in UHS14B14 to pick up the results before you go to the Parking Office.) The Parking Office is located at 3310 SW Veterans Hospital Road.

Step 6 Ensure that your Regional Nursing Network Clinical Passport is up-to-date. Your instructor will need to see it before your clinical placement begins.

Step 7 As of 2/1/2008, students may not use the blood glucose machine.

Step 8 Beginning Spring term 2008, students must bring the Nursing Student Daily Goal form filled out each time they are on the clinical site. This form lists the daily or weekly goal(s) for the individual student and must be shared with the preceptor.
