Listed below are the processes to review and forms to fill out and return to the Center for Learning & Development office no later than three weeks before the students arrive on campus for their clinical experience.
Step 1 Read and follow the Clinical Access Policy for Student Nurses.
Step 2 Complete the Excel spreadsheet form titled: Computer Pyxis Epic Info. The spreadsheet will create your students' computer (Novell) and Pyxis access. Epic access will be granted once the students have completed their two mandatory Epic classes. Give the completed spreadsheet to your coordinator. Students may not report to their clinical units unless their clinical passports are up-to-date.
- Students in the ICU and ED (for more than three months) are advised to get PACS access to view radiology reports online. You may arrange for this access on the Computer Pyxis Epic Info Excel spreadsheet in the column titled: PACS/Novell. The student can use an OHSU workstation to access the on-line PACS tutorial.
Step 3 All students are required to take two 4-hour Epic classes in order to document. The required classes are Epic IP 100 and Epic IP 101.
- Students can find available classes by accessing Training Force at: https://trainingforce.ohsu.edu/registration/.
- Once students have registered for their appropriate classes, they will receive an e-mail confirmation with class details from learning@ohsu.edu.
- Please have students forward this e-mail confirmation to you.
- Send the completed spreadsheet to your Coordinator. You do not need to wait until the students complete the classes before sending the spreadsheet. Epic will track their attendance and send you access once they have completed the necessary classes.
- Each school should send only one spreadsheet for the students coming in any given term. If you have any questions, please e-mail hrttrain@ohsu.edu.
Step 4 If you are going to have students in the ambulatory settings, they need to attend two Epic classes as the ambulatory clinics now use Epic for all order entry. You can go to the site https://trainingforce.ohsu.edu/registration/ to get times and register your students. They will need both the EpicCare Basic and EpicCare Intermediate classes. These need to be taken before clinicals start.
Step 5 OHSU requires a background/criminal history check before students may get their ID badge.
- If your school does a student criminal history check then faculty must print out, on official school letterhead, a Background History Certification Letter for each student. By signing this letter the faculty certifies that the background check has been done. The letter, along with the HIPAA Certificate of Completion, and the Student Access & ID Card form need to be brought to the Parking Office by the student in order to obtain on OHSU ID badge.
- If your school does not do a criminal history check, each student will need to fill out the OHSU Background Disclosure Form and fax to the Center for Learning and Development Office at 503-494-6110. Once received it will take approximately 24 hours to process. Students will need to go to the Center for Learning and Development office to pick up the results of the background check. The results, along with the HIPAA Certificate of Completion, and the Student Access & ID Card form need to be brought to the Parking Office by the student in order to obtain on OHSU ID badge.
Step 6 Two weeks before the clinical placement begins contact the Nurse Manager or NPEC and:
- introduce yourself,
- remind the manager of the upcoming clinical placement,
- set up the method of posting assignments,
- send a copy of the expectations and a syllabus to the Nurse Manager or NPEC,
- request a day of orientation if you are new to the unit, and
- if applicable, request a list of preceptor names for immersion or senior experience students
- collect all completed/signed confidentiality forms and give them to your Coordinator to send to:

Step 7 Weekly or every other week, check in with the Nurse Manager or NPEC to see if there are any issues or concerns. Step 8 If you have any question contact the Clinical Placement Coordinator (CPC), via e-mail at nsged@ohsu.edu.
NOTE: Schools outside the regional program should contact the Clinical Placement Coordinator (CPC), via e-mail at nsged@ohsu.edu to request student placements. Do not contact Managers directly to request student placements. Managers receiving requests for student placements will refer all requests to the CPC for processing.
