Nursing Clinical Placement
Note: Schools/students outside the regional program, we welcome your requests for student placement. Please do not contact managers directly, but send requests to learning@ohsu.edu.
Student Checklist
Three weeks before your clinical experience:
- OHSU requires that all students pass a drug screening test before arriving on campus. Check with your school for instructions.
- Your faculty will register you for the necessary Epic training classes based on your clinical placement. Ensure your Epic classes are scheduled to be done before you start your clinical assignment.
Two weeks before your clinical placement
- Training
- Become familiar with the OHSU Emergency Codes.
- Epic training: Check with your faculty for your scheduled classes at OHSU.
- Glucose monitoring: If you will be doing glucose monitoring at OHSU, you will need to complete the following:
- Online module and test (must be done on OHSU campus): Click here to begin the online module.
- 30-minute, hands-on glucometer class. This will be scheduled in tandem with your Epic training.
- Complete the online training modules: Respect at the University , Integrity Education Booster and HIPAA-Privacy and You. These trainings require sound-make sure you have speakers/headphones. To access the OHSU online modules, go to https://www.ohsu.edu/bigbrain/
- Click on the green text: "register here"
- Follow the directions for Visiting Student or Intern
- Login name: your last name and first initial
- Click on Register. This will take you back to the screen where it asked you to "register here" in green text. Enter your newly created username and password and follow the directions.
- Print the Certificates of Completion. You will need them to obtain your ID badge.
- Complete/collect these forms
- Access & ID Card form Please ensure the name of your school is listed as your “Department” and have your faculty sign as your “Department Manager.”
- Background check/Drug screening verification.
- Certificates of Completion for Respect at the University, Integrity Education Booster and HIPAA-Privacy and You. Also make sure to bring a Photo ID.
- Parking
- Contact OHSU Parking (503-418-9949 or parking@ohsu.edu) for instructions on where to buy a parking pass and park. Parking on the Marquam Hill campus is limited and closely monitored. DO NOT park in visitor parking areas - the fine is high!
- Ensure your regional nursing network clinical passport is current. You must bring it with you when you are on the unit.
For your first day of clinical experience:
- Obtain your ID badge—take the following documents to the OHSU Parking Office located at 3310 SW Veterans Hospital Road:
- Background check/Drug screening verification
- Respect at the University Certificate of Completion
- HIPAA-Privacy and You Certificate of Completion
- Integrity Education Booster Certificate of Completion
- Access & ID Card form
- Photo ID
- $15.00 to pay for the ID card
- Access the Network and Epic
- Find a computer workstation that requires a login (typically these will be in a back office not on the unit/clinic floor). Log into the computer using the Network ID and password provided to you by your faculty. You must login to an OHSU workstation first, before logging in to Epic. During your first login attempt you will be required to change your network password. Please follow the screen instructions to change your password or call the HelpDesk (503-494-2222) for assistance.
- Cohort students must bring the Nursing Student Daily Goal form filled out each time they are on the clinical site. This form lists the daily or weekly goal(s) for the individual student and must be shared with the preceptor.
Faculty Checklist
Three weeks before the students arrive at OHSU for their clinical experience:
- Complete the Excel spreadsheet: Computer Pyxis Epic Info and give to your coordinator.
- Students in the ICU and ED (for more than three months) are advised to get PACS access to view radiology reports online. You may request this access on the Computer Pyxis Epic Info Excel spreadsheet in the column titled: PACS/Network. The student can use an OHSU workstation to access the online PACS tutorial.
- If your students are placed on an inpatient unit (direct patient care), they are required to take a 6-hour Epic class before starting on the inpatient unit. Work with your Coordinator to register your students. Epic classes for visiting nursing students will be offered on the following dates:

Glucometer classes will be held on the same day at 8:00 prior to the Epic class. Pre-registration through Melanie is required.
- If your students are placed in an ambulatory clinic, they need to complete three Epic classes. The first is an online class titled EpicCare Fundamentals and is a prerequisite to taking the other two classes. Students will need to come on campus and use an OHSU workstation to complete this online class. They may go to the Library or their clinic to access an OHSU workstation. The training module can be found here: http://ozone.ohsu.edu/ozone/epic/learning/online-training.cfm The second and third classes are instructor-led and need to be taken before their clinical experience starts. Again, work with your Coordinator to register your students.
- All students who will be monitoring blood glucose, must complete both an online module/test AND a 30-minute hands-on class. After the class, students will gain access to the glucose machines. For instructions, see the Student Checklist above.
Two weeks before the students arrive on campus:
- If you will be coming to the OHSU campus, become familiar with the OHSU Emergency Codes.
- Complete an Access & ID Card form for yourself as faculty.
- Access & ID Card forms for each of your students which must be signed by Mary Stock. (If a student is an OHSU employee, will need to request this additional Student ID badge.)
- OHSU requires a background/criminal history check and a drug history check before students and faculty may get an OHSU ID badge.
- If your school does a criminal history and drug check then faculty must print out, on official school letterhead, a Background History Certification Letter for each student/faculty. By signing this letter the faculty certifies that the background checks have been done.
- If your school does not do a criminal history check, each student/faculty will need to fill out the OHSU Background Disclosure Form and fax to the Learning & Change Management Office at 503-494-6110. Once received it will take approximately 24 hours to process. Results of the background check may be picked up at the Learning & Change Management office.
- Complete the online training modules: Respect at the University, Integrity Education Booster and HIPAA-Privacy and You. For instructions, see the Student Checklist above.
- Contact the Nurse Manager or Professional Practice Leader (PPL):
- Introduce yourself and let them know when you will be on the unit
- Share with the manager/PPL your syllabus and how you will organize assignments
- Request a day of orientation if you are new to the unit
- Request a list of preceptor names for immersion or senior experience students
- Collect all completed/signed Patient Confidentiality Statements and give them to your coordinator.
On or before the first day of clinical experience:
- Obtain your ID badge. (Refer to instructions in the Student Checklist above.)
- Ensure that you and your students have a current Regional Nursing Network Clinical Passport.
During clinical placement:
- Periodically check in with the Nurse Manager or PPL to see if there are any issues or concerns.
Coordinator Checklist
Four weeks before clinical placement, contact the OHSU Clinical Placement Coordinator (CPC) to confirm your school has a current contract in place.
Three weeks before clinical placement:
- Contact learning@ohsu.edu to register your students for EpicCare training.
- Compile all Computer Pyxis Epic Info Excel spreadsheets from your faculty and fill in the Epic class dates you have selected. Once the Computer Pyxis Epic Info spreadsheet is accurately populated, e-mail to Melanie at blehm@ohsu.edu.
- This spreadsheet serves as a request for access for your visiting nursing students. It will be routed to request access for the OHSU Network (this allows your nursing students to log in to the computers on campus), Med Pyxis, Supply Pyxis, and Epic. Note: Epic access cannot be granted until after successful completion of training.
