How do I apply for an OHSU Position?

Please follow the instruction under “How to apply” for the position you are interested in on our website. How do I complete an online application?

Online applications follow one of three paths:

  1. New applicants who have never accessed the online system and need to create an account
  2. Returning applicants who need to make changes and apply for positions
  3. Returning applicants who do not need to make changes and apply for positions

Why can’t I fill out a paper application?

For most jobs OHSU does not accept paper applications. If a paper application is acceptable it will be listed under “How to Apply” for the position.

What are the benefits to applying online?

By applying online, you are immediately entered into the OHSU Human Resources tracking system. You are able to apply for multiple jobs with one application, and have the ability to review your status as well as update your profile and resume at any time.

How can I apply if I don't have a computer?

Human Resources has kiosks available to apply online. In addition there are a number of public locations you can use to apply online.

Am I able to just submit my resume?

OHSU does not accept unsolicited resumes. Please follow the instructions under “How to Apply” for the position you are interested in applying for.

Do I always have to register to do the online application?

No, you only need to register once. You do need to log into the system each time you want to view or apply for jobs, or make updates to your application.

What do I click on if I can't remember if I've ever applied at OHSU?

Use the Online Job Application Access page to submit a password request. If you have applied in the past, you will receive a password reset. If you haven't applied, you will receive confirmation to create an account.

Why when I enter my employment history it does not appear in chronological order?

Employment history stores in the order it was entered. However, when Human Resources reviews applications they are automatically sorted in chronological order.

Can I delete old jobs from my "jobs applied for" page?

No, the jobs you have applied for are part of your HR record.

What do I put in for the end date of my current job?

If you don't have a future end date for your current job simply leave the field blank.

Can I target a resume for a specific job if I'm applying for multiple positions?

You may attach up to 10 documents to your application, including several versions of resumes and cover letters. However iRecruitment does not attach your resume/cover letter to a single position you apply to.  Example:  If you apply for a lab assistant position and create a resume/cover letter and then apply for a fitness instructor position and create a resume/cover letter both sets will appear.

There are two options to get around this problem:

  1. Title your resume/cover letter with the job # and job name
  2. Delete your resume/cover letter when the job status changes to "More Qualified Applicants Being Considered"

Can I change my login ID?

Yes.  You will need to know your old login ID (email account) to login and make updates.  NOTE: OHSU employees cannot change their login ID as it is tied to their network login.

PROBLEMS APPLYING/FILLING OUT THE APPLICATION

Why can I see a position on the OHSU jobs page, but when I log in to apply it's not there?

Most AFSCME positions are posted for internal applicants for the first 7 days. The position description will state:

***Applications will only be accepted from current OHSU Employees for the first 7 days of this posting***

After 7 days non-OHSU employees may apply for the position.

What if I am having problems with the online application process?

I forgot my password, what do I do?

Use the Online Job Application Access page to submit a password request. 

Password resets for external applicants are reset within one business day, but usually sooner.

My password didn't work when it was reset, what should I do?

Send an email to hraccess@ohsu.edu stating your problem.

I'm getting an error message, "Your account has not been set up properly..."

Users trying to access their accounts using non-supported web browsers may receive the following error message: "Your account has not been set up properly. Please contact the site administrator informing them that your login is not associated with a person"

Why do I get an error message when I click the web browser back button?

iRecruitment is designed to navigate by using the forward and back buttons within the application.  Using your web browser buttons to navigate will generate an error requiring you to log out of the application.

What does the error "the HR object is invalid..." mean"?

This error usually means you filled out the application in the review form. There is a warning at the top of the page stating that if you attempt to complete your application in this area the changes will not be saved. You can identify the review form by the lack of Save buttons at the top and bottom of the page. To get to the correct area of the application click the Home tab, then click the My Application link.

Can I share an email that is already registered in iRecruitment?

No, each email account must be unique to the person. If you need to set up an email account try these sites:

gmail
yahoo
msn

OHSU does not endorse any specific email service.  The sites listed are merely representative of free email available to applicants.

I'm getting the error message: HR_51231_MISSING_ASG, what do I do?

This is a bug we are addressing.  If you get this error, log out and log back in, this should fix the problem.  If you continue to have problems please send an email to hraccess@ohsu.edu

I'm getting an error message when I try to upload a document.

If you are receiving the following error:

Value application/vnd.openxmlformats-officedocument.wordprocessingml.document exceeds the maximum allowed value (VARCHAR (30, -127))

it is because iRecruitment does not recognize MS Office 2007 Word documents.  The document extension has a .docx vs. MS Office Word 2003 .doc extension.  To remedy this problem save your document in the older Word version.

OTHER QUESTIONS

I don't see a closing date for your jobs. When do they close?

Jobs can close at any time. Be sure to check the job listing to see if
the job you are interested in is still listed prior to applying.

Who can I speak with to check on the status of my application?

Due to the large number of applications we receive, we are unable to verify the status of individual applications. If you applied online you can check the status of your application in the system. If you submitted a paper application, allow one to four weeks to be contacted if you are selected for an interview.

Once I’ve submitted my application/resume, when will I be contacted?

Due to the large number of applications we receive, we are only able to contact applicants who are selected for an interview.

How long does the application review process usually take?

The application review process can range from days to weeks depending on the need and urgency of the recruitment.

My "Application Status" hasn't changed. What does that mean?

One of two things:

  1. Human Resources is waiting for more applicants before they begin interviews.
  2. The position has been filled and the system will be updated shortly.

What are the different kinds of application statuses?

  1. Active Application (your application was successfully submitted, but no action has been taken on it yet).
  2. Application Under Review (your application has been forwarded to the hiring manager for review).
  3. More Qualified Candidates are Being Considered (we have determined other candidates’ qualifications to be a better fit for the position).

Does OHSU have a temporary hiring pool?

OHSU used to have a temporary hiring pool, but we no longer do.

Who is the supervisor/hiring authority of the position for which I applied?

OHSU prefers all questions be addressed through Human Resources.

Are all applicants interviewed?

No.  Supervisors review applicants and interview those who best match the requirements of the position.
