Room Rental: Policies and Responsibilities
Failure to comply with these Policies and Responsibilities may result in fines and loss of privileges to the ITG training rooms.

ITG Training Room Policies

  1. The ITG Training Rooms are operated on a user fee supported basis.
  2. The ITG Training Rooms are designed primarily for OHSU corporate training.
  3. The ITG Training Rooms will NOT be scheduled for non-computer training activities; nor for computer hands-off classes, including meetings, software testing, etc.
  4. New trainers are required to attend a 20-minute training room orientation to learn how to operate the training room equipment and to go over the guidelines for using the training room.
  5. Non-OHSU corporate trainers will reserve the ITG training rooms by filling out the on-line "External Trainer Reservation" form or through the Training Coordinator, 4-6677, option 2. OHSU trainers will reserve the ITG training rooms through the GroupWise calendar system.
  6. Due to GroupWise limitations, appointment requests past six months will be not be accepted.
  7. Non-OHSU trainers may not use the BICC training rooms to teach OHSU-supported courses.
  8. The IT Training Senior Manager reserves the right to decline reservations for multiple training rooms and/or consecutive days if it will cause a training resource problem for other trainers.
  9. To address the high usage of ITG training rooms, schedule classes for the morning, for the afternoon, or for all day. DO NOT schedule a class in the middle of the day; e.g., 10:00-2:00. Add a ½ hour before class for set-up and a ½ hour after class for clean-up.
  10. If a scheduling conflict arises, the trainers involved must resolve the conflict; IT Training will not bump any scheduled training.
  11. OHSU Trainers will notify IT Training (494-6677, option 2) of cancellations 48 hours prior to scheduled class time to allow for alternate class scheduling. OHSU Trainers will be charged for class reservation cancellations made within 48 hours before the class, or if they attempt to delete a class after the date/time of the class reservation.
  12. The maximum number of students to be scheduled in the training rooms, as stated by the Fire Marshall: 24 (two to a computer); minimum number: 4. Less than 4: trainers will cancel the class (48 hours before) or make other training arrangements.
  13. All Trainers must make arrangements to install new software through IT Training.
  14. Trainers will follow the software copyright law. IT Training requires proof of software purchase for software residing on training computers more than 24 hours.

Trainer Responsibilities

  1. Complete and submit the reservation form for our records or use the GroupWise e-mail system to reserve the room (External trainers must fill out our online reservation form).
  2. Schedule a 20-minute orientation session (if a new trainer) with an IT Training staff member. Call 494-6677, option 2 to schedule an orientation.
  3. ITG Training rooms are kept locked when not in use. It is the trainer's responsibility to make arrangements ahead of time to check out a key. Call 494-6677, option 2.
  4. Trainers may make temporary changes to these settings; e.g., change the desktop font for a student with impaired vision. Setting changes will return to their defaults when the workstation is shut down.
  5. Trainers do not have administrator rights to install, delete or update software. Contact IT Training, 494-6677, option 2, for more information.
  6. Clean up the training room after class. This includes:
    • Removing or fixing any modifications to the audio visual equipment.
    • Turning off the computers.
    • Turning off the audio visual equipment; i.e., the high-intensity multimedia projector.
    • Wiping clean all white boards, including the ones at the entrances to the training rooms. This may mean getting a wet towel to wipe them down.
    • Removing all training materials. (Additional training materials can be kept in the training storage room.)
    • Removing items or trash left by class participants or caterers.
    • Closing and locking all classroom doors.
    • Returning training room keys (if checked out from IT Training) to the IT Training department, BICC 404.
