What
is "Big Brain?"
Big Brain is a portal for online education at OHSU. Big Brain delivers
online education and provides user transcripts and reporting capabilities.
How
do I log in to "Big Brain?"
The first time you use Big Brain you will
need to register. Go to the Big Brain web site: http://www.ohsu.edu/cc/ed/bb/
and Click on the Big Brain logo. Select the "register here" link from the login page at
https://bigbrain.ohsu.edu/.
OHSU employees and students will use their
Network/Novell login and password. All
others will be asked to create a login
and password. After registering, return
to the login page and log in.
Can
I access Big Brain from home using the
Internet?
Yes, the site is accessible from any computer
with internet service. Some courses, however,
may be restricted to the OHSU intranet. Courses only available on the OHSU intranet will be identified on the Course Catalog page.
I have forgotten
my Novell username and/or password, how can I login?
Contact the OHSU Help Desk at 503 494-2222 (6:00a - 6:00p) for assistance with your Novell username and/or password.
What
if I am new to OHSU and do not yet have
a user login?
Follow the instructions on the registration
page (https://bigbrain.ohsu.edu/ -
select "register here") for new OHSU employee
or student, employee ID not assigned.
What
if I am a visiting scientist, a non-OHSU
student, a vendor, or someone else who
does not have an OHSU login?
Follow the instructions on the registration
page (https://bigbrain.ohsu.edu/
- click "register here" text) and select
the appropriate affiliation. You will need
to provide some additional information
about yourself and your affiliation to
OHSU and then asked to create a login and
password. Once complete, return to the
login page and login.
How
do I monitor compliance for my department
and/or employees?
Only employees with supervisor responsibilities are authorized to access faculty and staff *
compliance reports within Big Brain. If for some reason you are employee who should have
access but are denied, please send an e-mail to oioeduc@ohsu.edu. *Due to FERPA issues,
student compliance reports are not available on-line. Student reports for each school will be
pulled on request and sent directly to the designated HIPAA contact for each school.
To access a report, login to Big Brain. Click on Report Builder in the top navigation bar.
Select the title of the course for which you wish to gather information. Build a query from the
data fields (such as organizational number, course status). Select the “Search” button. You can
export your results to pdf form or Excel.
For managers and
supervisors: I can’t find a learner’s record in Big Brain
New employees, new students, and other alternate users (visiting scientists, volunteers,
consultants, non-OHSU physicians, etc.) may not appear in the Report Builder. Please use the
Individual Learner Search at the bottom of the Report Builder page to locate their record.
My employee appears
in the HIPAA “not completed” report but I know they have completed HIPAA
If you feel the status for a given course is not correct, verify with the learner that they have registered
with the Big Brain system. This will ensure that any historical records are imported into the system.
How can I print a certificate for a completed course
Users can print a certificate either within the course or by following these instructions:
Who
has to take the A Higher Standard: Respect at the University (RAU) course?
Everyone at OHSU, including employees, students, faculty, and volunteers,
is required to complete the Respect at the University education.
Why do I have to take this training?
OHSU is legally obligated to train its workforce and student population regarding the prohibition against unlawful discrimination and harassment
in the workplace and educational environment. Consistent with this obligation, OHSU maintains policies that prohibit unlawful discrimination and provide
for a complaint procedure to address concerns. This course is one of several mechanisms used to disseminate
OHSU's expectations to prevent unlawful discrimination and harassment and to reinforce OHSU's Code of Conduct, which requires
everyone at the university to engage in respectful behavior.
When
and where should I take the course?
You should check with your supervisor about when and where
s/he would like you to take the course. It can be accessed

All current employees and students must complete this course within 60 days.
New employees, students, visiting scientists, and others must complete the course within
30 days of being hired as an employee, enrolling as a student, or arriving at OHSU.

How

What is “Privacy and You”?
“Privacy and You” is a computer based education program on the HIPAA (the
Health Insurance Portability and Accountability Act of 1996) privacy standards.
It is accessible from any computer that can connect to the Internet.
Who should complete this training?
According to the HIPAA privacy standards, we must educate all members
of our workforce on how HIPAA will affect what they do at OHSU. Our workforce
includes all employees, students, faculty, staff, and volunteers. This
means that everyone at OHSU must complete HIPAA training. Ensuring that
all members of the OHSU community complete this training is part of what
OHSU must do to comply with federal law.
How long do I have to complete "Privacy
and You"?
Completion of HIPAA training is a pre-requisite for obtaining computer
access and an OHSU ID badge, and must be finished before a new computer
account is activated or an OHSU ID badge is obtained. For those who do
not request computer access, “Privacy and You” must be completed before
physical access to areas containing protected health information (PHI)
is granted or within 30 days of beginning duties at OHSU, whichever is
sooner. Those who do not meet this requirement are subject to corrective
action, up to and including termination of their relationship with OHSU.
How do I log in to “Privacy and You”?
Enter by logging in to Big Brain, an administrative and reporting tool,
and selecting the "HIPAA - Privacy and You"

Can I take this course from home using

Yes. The course offers both a high band (for DSL/cable connections) and
a low band (for dial up) version.

That will depend. “Privacy and You” is customized to give you the right
amount of information based on your role at OHSU. You should plan on at

Who has to take the Conflict of Interest (CoI) course?
OHSU Policy 10-01-015 (http://ozone.ohsu.edu/policy/pac/chapt_10/10-01-015.htm)
requires the following groups of individuals to complete the CoI module
annually in order to disclose any related outside activities requiring
approval. These individuals are defined collectively as “disclosing
employees.”
Disclosing employees include:
If a non-disclosing employee has an outside activity requiring approval
per OHSU policy 10-01-015, he or she may complete this on-line form and
submit it his/her supervisor for approval.
This on-line module also provides Executive CoI disclosure forms for
OHSU Executives required to complete this additional disclosure form,
per OHSU policy 10-01-021 (http://ozone.ohsu.edu/policy/pac/chapt_10/10-01-021.htm).
How long will the module take?
You should plan on about 5-10 minutes to complete the on-line disclosure.
You may need more time than this if you are involved in several outside
activities requiring disclosure, perform research at OHSU, or are an OHSU
Executive.
What happens if I exit the program before I am finished?
You will need to start from the beginning when you return to the module.
If you need to quit the module before completion, simply select "quit"
from the menu at the top of the page. If you have completed and submitted
a disclosure form before quitting, your answers will be saved and will
reappear whenever you return to the module.
Do I have to complete all sections of the module?
Yes. In order to be marked as “complete” for the CoI disclosure
requirement, you must answer each section relating to CoI requirements
at OHSU:

The course shows my Conflict of Interest in Research (CoIR) Disclosure
record but I haven’t taken the course yet. What does this mean?
The Big Brain system communicates with the CoIR database to import information
about an individual’s CoIR disclosure record so that users and department
managers can access CoI compliance information all in one place. If you
have a record available in the CoIR database, it will be displayed in
your Big Brain CoI course record. For questions about your CoIR disclosure
record, please contact coir@ohsu.edu or 503-494-7887.
An e-mail was sent to me instructing that I need to approve an employee’s
Outside Activities Disclosure form but this person does not report to
me. What should I do?
The Big Brain system obtains supervisor information from the Human Resources
database. Please inform the employee that they need to contact Human Resources
(HR Records: http://ozone.ohsu.edu/hr/my_hr/dept_list.shtml#split) to
have this information corrected. Once the Human Resources database has
been corrected (approximately two days after notifying HR), the correct
supervisor can log in to the system and approve the Outside Activity disclosure
by selecting “CoI: Outside Activities” from the purple menu
bar.

My CoI course record used to say complete, now it says not attempted. Why?
The CoI module must be completed annually by July 30. The CoI module has an expiration date (currently March 8th) so that those who complete the module
after the expiration date will receive credit for the following year. Once this expiration date has passed, all records will be reset to show
"not attempted" for the current disclosure year. Managers can access the previous year's course information for individuals by doing a Learner Search.
The previous years' CoI Records are listed under the CoI course record information on the Learner page. Additionally, when doing reports by Department using
the Report Builder, managers can select a specific year for the CoI course to show completion information for the year specified.
What does the management plan column mean on my CoI module record?
For any employee who has submitted a Outside Activity or Executive CoI disclosure for review, the approver has the option to indicate that a management plan is required. If so, there will be a "Y" in the management plan column for that topic. For Outside Activities disclosure forms, the approver is the employee's supervisor. For Executive disclosures, the approver is the OHSU Integrity Office.
What is the Corporate Compliance Annual Certification (CCAC)?
Form which provides an opportunity to verify that potential compliance-related items have been disclosed to the Hospitals & Clinics Integrity Office. OHSU hospitals and clinics employees in a department manager or director position are required to complete the form as part of the Big Brain CoI module. Please note that because of the addition of the CCAC form, 2006 records will show as "incomplete" for the overall CoI module status.

has to take The Competent Physician?
All incoming Graduate Medical Education Residents and Fellows will be
required to take this course starting in June of 2006. The course is currently
available to any Graduate Medical Education residents, fellows, faculty,
or any other individual interested in learning about the ACGME (Accreditation
Council for Graduate Medical Education) Core Competencies.
Why
do I have to take this training?
The ACGME and OHSU Graduate Medical Education require knowledge of the
ACGME Core Competencies, demonstrated in the Competent Physician.
How
long will the course take?
You should plan on about one to two hours to complete this training. You
may need more time than this, depending on the speed of your connection
and how many interruptions you may have. It might be best to designate
one to two hours of uninterrupted time.

is the purpose of the journal?
The journal allows you to utilize the practice-based learning competency
through the process of reflecting throughout your resident experience
on your practice and practice improvements. When responding to the reflection
questions in the journal, make sure that you include identifying information
your response so that you will understand your reflection's context. It
is important to save your journal to a file or print it in order to keep
a copy for future reflection. .
Who

Since you are saving your journal to a file or printing it, no one else
has access to your journal.
Do
I have to complete all sections to receive credit for the course?
The majority of the course must be completed in order to receive credit
for completing the course. Please print your certificate of completion

Who has to take the Safety Training
Everyone at OHSU, including employees, students, faculty, and volunteers, is required to complete the General Safety course. At the end of the course,
learners will be asked to indicate if they are affiliated with a research laboratory. The Laboratory Safety course is required for all OHSU personnel
who work in a research laboratory or supervise those who work in a research laboratory. It is highly recommended for all those who do not conduct research,
but enter research areas during the course of their work.
How long will the course take to complete?
The General Safety course takes approximately 10 minutes to complete. The Laboratory Safety course takes approximately 45 minutes to complete.

This course is designed for Internal Medicine interns and residents.
This course can be taken from any computer connected to the internet. The URL is http://www.ohsu.edu/cc/ed/bb/. You can
take this course any time during your ambulatory rotation. There will be a debriefing session on the last Friday of the ambulatory block.
Rational Rx is made up of 3 modules: Regulatory Railroad, Evidence-Based Prescribing and Hooked on Pharma.
The modules and all of the associated surveys take approximately 2 hours to complete. The pretest takes approximately 25 minutes.
Each post-test (one for each module) takes approximately 10 minutes.
You may stop the modules at any time; a bookmarking feature will keep your place. The next time you login you will
automatically go back to where you left off. The surveys do not have a bookmarking feature, however, so we ask that you complete these once you begin.
The Rational Rx course has a bookmarking feature. This means that if you exit the course before you are finished, the program will
remember where you left off. When you login the next time, you will automatically go back to where you were.
